OUTLINE OF
OPERATIONS (PROPOSED)
2002
I.
Sponsorships
We are going to retain the same basic sponsorship
package for 2002 as 2001. Wes Allen
is again working on this area. We
discussed raising the sponsorship fees, but decided it would be best to see if
we can raise membership this year, continue to retain the Legends and UK as
sites, and work toward being in a better position to possibly get higher paying
sponsors next year.
I have obtained “verbal promises” that WTVQ and
WKYT will do stories on us this year. I
have also obtained a “verbal promise” that WKYT will try to give us some
free 5 second commercial spots to announce upcoming events. However, there are no guarantees on these things right now.
Therefore, it is nothing we can sell to our sponsors.
As far as I am concerned, until those “verbal promises” actually
happen, they are worth nothing. Nonetheless,
keep your fingers crossed.
Basic rate for an event sponsor is $500. That will include inclusion on our website, advertising at the event, inclusion on all CKR SCCA documentation for the year, AND NEW THIS YEAR. A full sponsor will be allowed 1 free entry at each CKR Solo II event this year. Since most of our sponsors are coming from CKR members, we thought this would be an added incentive to sponsor.
II. Fees
CKR SCCA member - $20
CKR SCCA speedfreakz member - $20
Non-member - $30
CKR SCCA associate membership - $10
Because we raised the non-member rate, we will have
CKR SCCA membership applications at each event. Any non-member joining the SCCA the day of the event will run
that event free and will pay member rates in the future.
UK SAE – will get to run their “project car” at
our events. They will be allowed to
run 2 drivers in that car free of charge at each event. Other SAE members that wish to drive their personal cars will
be encourages to join the SCCA speedfreakz program.
III. Work
Organization
We have divided up the work organization into seven
(7) categories. Each category has a
person that is responsible for that area for the year (SUPERVISOR).
Each supervisor is responsible for either doing that job at each event
for the year or finding someone else to do that job for that event.
The goal is for each SUPERVISOR to enlist the help of at least 3 others
during the year. The supervisor
will then train that person(s) on their area and hopefully will only end up
working for ˝ the events or less for the year.
This will also increase our pool of trained workers for 2003 forward.
The areas, supervisors and responsibilities are as follows:
EVENT CHAIRMAN SUPERVISOR – Mike Shepherd/Jim Sawyer

Be the
responsible/in-charge person at the event

Coordinate
with other supervisors 2 weeks prior to each event to ensure all work
responsibilities are covered
·
Ensure
the trailer is available at the site at 7 am the day of the event
·
Run the
drivers meeting and announcements
·
Ensure
Insurance certificates are in place
·
Ensure
trophies are ordered
·
Run
worker assignments at the event
· Reminder email sent to all CKR SCCA members 2 weeks and 1 week prior to each event
NEW DRIVERS/SPEEDFREAKZ SUPERVISOR
– Judy
Walker/Randy Walker

In charge
of getting a Waiver signer for incoming drivers
·
Coordinate
SCCA and SPEED FREAKZ membership applications
·
Have the
“NEW DRIVER” trailer set-up
·
In-charge
of answering questions and helping new drivers

“walking the course” with all new drivers
·
Follow-up
phone calls and reminder phone calls for new drivers
TIMING/SCORING SUPERVISOR –

REGISTRATION

for getting results to Webmaster after the event

(coordinating with event chair) for establishing work/run order
SAFETY STEWARD SUPERVISOR – Mark Manuel

COURSE SET-UP/DESIGN SUPERVISOR – George Schweikle

for course design (get design to Event Chair 1 week prior to event)

TECH SUPERVISOR – Mike Dickerson

Responsible
for getting cars tech’d at the event
·
Responsible
for car classifications (new drivers and current)
There will be a new flow to the organization this
year. First, people will be
directed to our new member area (Randy/Judy) and they will have new member cards
to get filled out there. Second, we
will have tech and registration close together this year. Tech will be done first, then registration in a line.
Tech will be responsible for the normal tech of the cars plus classifying
the cars. Registration will only be
responsible for collecting money and entering people into the computer.
We hope that any bottleneck will happen in Tech, not registration.
IV.
Event
Timing
We have moved the start time of the events up.
Registration will be from 8:30 to 10:00 am.
The first car will run at 11:00 am.
